Job Title: SCHOOL REGISTRAR
Reports To: PRINCIPAL
General Job Description:
Under general direction, maintain academic records, process grades, and register and withdraw students. Process requests for student records and issue official transcript. Provides support to the counseling staff.
Essential Duties and Responsibilities:
- Maintain student records including but not limited to transcripts, registration material, grade sheets, schedules, and immunization records.
- Process requests for student information from colleges, universities or other school districts.
- Verify withdrawal and entry dates, may include 20 day reports.
- Print and distribute report cards. Provide appropriate forms and process grade changes.
- Provide information to counselors engaged in evaluating academic records of students preparing for graduation.
- Prepare student transcripts and commencement list.
- Order, prepare and distribute diplomas.
- Issues official transcripts.
- Assist with transition.
- Assist with Social Security paperwork.
- Coordinate Scholarship Assembly.
- Maintain confidentiality with sensitive matters.
- Be flexible and able to prioritize tasks and maintain accurate and detailed records.
- Report to work on time and work no less than 8 hours per day.
- Work independently with very little supervision.
- Attempt to deescalate parents/students; listening/visiting with them about their concerns prior to them meeting with administrators.
- May be required to perform other duties that may be assigned by your supervisor.
Marginal Duties and Responsibilities:
- Coordinate fire drills/lockdowns/evacuations.
- Maintain Zone exemptions.
- Enter fines paid in Power School and give money and receipt(s) to librarian or bookkeeper.
- Deposit money in absence of Bookkeeper.
- Input fines in PowerSchool.
- Provide Proof of Attendance to local Agencies.
- Prepare athletic eligibility reports.
- Process fines at end of year.
- Print progress reports/eligibility reports.
- Coordinate Scholarship Assembly.
- Perform clerical support for counselors, including but not limited to typing memos, letters, completing college scholarship information and taking messages.
Supervisory Responsibilities:
None
Qualifications:
- High School diploma or GED.
- One year experience in a clerical position with a high degree of data entry.
- Knowledge of computer systems, including databases and word processing programs.
- Personal and professional task management through the use of technology.
- State reporting requirements and programs.
Physical Requirements:
Sitting, standing, lifting and carrying (up to 40 pounds), climbing stairs, reaching, squatting, kneeling, having full mobility of fingers/hands, and moving light furniture may be required, unless ADA accommodations have been mutually agreed on and does not create an undue hardship upon the district.
Safety and Health:
Knowledge of universal hygiene precautions (blood borne pathogens, body fluids, etc.)
Equipment/Material Handled:
Must know how to properly operate, or be willing to learn to operate, multi-media equipment including current technology as needed.
Work Environment:
Must be able to work within various degrees of noise and temperature. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision. After hours work may be required. May work under stressful conditions on occasion.
